What’s an Affiliate Organization?

To support our mission of fostering social, cultural, and professional connections within the graduate community, the GSS proudly partners with various UBC department organizations, graduate communities, and select off-campus groups. Affiliate Organizations (AOs) play a vital role in the GSS family, helping us engage and enrich the wider graduate community. Together, we create spaces for learning, creativity, and meaningful interactions for all grad students.

What We Do

As a part of the GSS, Affiliate Organizations (AOs) gain access to a range of valuable resources:

  • Communication Support: We help AOs reach the broader graduate community by sharing their events and initiatives through our GSS newsletter and social media channels.
  • Financial Assistance: We provide funding to AOs for hosting various events, including department orientations, games nights, speaker panels, networking mixers, and cultural celebrations.
  • Collaborative Opportunities: AOs are invited to partner with us on large-scale GSS events, engaging grad students from across UBC and beyond their own departments or communities.

As an AO, you will gain a strong support network and a larger platform to enhance the grad experience for all.

After You Join

Once affiliated, you’re welcome to bring forward your ideas and initiatives—whether it’s an event concept, a funding request, or a communication plan to promote your activities. There’s no limit to what we can create together; simply share your vision, and we’ll work with you to bring it to life. Submit applications for funding, request collaborations, or ask for support in spreading the word through our newsletter. Let’s make a lasting impact, together.

Steps to Apply for Affiliation

  1. Complete the Application Form: Find the AO application form, fill it out, and email it to both vpstudents@gss.ubc.ca and aa@gss.ubc.ca.
  2. Gather Supporting Signatures: Ensure the form includes four supporting signatures in addition to the primary contact for the AO (preferably an official email ID, not a personal one).
  3. Confirmation Email: You will receive a confirmation email within a week. If not, please feel free to send a follow-up email—our team works hard, but emails can occasionally be missed.
  4. Attend the Council Meeting: Attend the next Council meeting, or have a member attend on your behalf, to address any questions about your affiliation. If there are no objections, your affiliation will be approved, and congratulations—you’re officially part of the GSS!

Stay Up to Date

Join our Discord channel for real-time updates on event opportunities, collaboration requests, and to connect with other AOs. Your primary contact will also receive a monthly newsletter, but for timely updates and networking, Discord is your go-to resource!

How Much Funding Is Available for AO Events?

For the academic year beginning May 2025 through April 2026, each AO is allocated a budget of $1,000 for social, cultural, or academic events. This budget can be used all at once or spread across multiple events throughout the year via separate event funding applications.

Steps to Apply for Event Funds:

  1. Download and complete the Event Fund Application Form, the Budget Spreadsheet, and, if applicable, the Waiver Form.
    Note: The waiver form is required for events involving physical activities, travel, or alcohol (excluding alcohol served in our pub/restaurant) organized by our organization or any of its affiliated clubs, associations, or societies.
  2. Email the completed documents to vpstudents@gss.ubc.ca.
  3. The VP Students will contact you to confirm the approved funding amount.
  4. Hold your event/project! (Please remember to collect and retain attendance sheets—this is very important—as well as receipts and photos/videos to share on our social media channels.)
  5. Complete the Post-Event Report. Update the Budget Sheet, compile all receipts into a single PDF, and include your attendance sheets and marketing materials. Ensure the PDF is under 10MB.
  6. Email all documents to vpstudents@gss.ubc.ca within two weeks of your event’s conclusion to process your reimbursement.
